How a 65-cover restaurant stopped losing bookings to voicemail.
Independent UK restaurant, three years old, busy dinner service, single landline answered by whoever's near the bar. Lost bookings going to competitors every weekend. Here's how we fixed it.
What we hear every week.
The frustrations behind why businesses search for restaurant phone system case study in the first place. If any of these feel familiar, the fix is straightforward.
Bookings lost during service
Phone rings at 7.30pm, nobody can answer mid-service, caller hangs up and books somewhere else. Every Friday and Saturday.
Voicemail goes unchecked
Voicemails left at peak times aren't returned until next morning — by which point the diner has booked elsewhere.
Floor staff distracted
Waiters interrupting service to answer phones, customers at the table notice, service quality drops.
Weekend bookings lost
Sunday afternoon callers want to book the following weekend — closed phone lines mean lost bookings, not just rescheduled ones.
What we recommended and installed
After a site visit and a week of monitoring the call patterns, we recommended a Telexico cloud VoIP setup with AI receptionist integrated to the restaurant's existing OpenTable account. The AI handles booking calls directly during service rush, dietary and menu questions get answered from a trained knowledge base, and complex enquiries (private events, large parties) get routed to the GM's mobile. Floor staff stopped answering the phone except for genuinely escalated calls. The transition took three weeks including OpenTable integration testing.
The Telexico approach to restaurant phone system case study.
Six things our customers consistently tell us matter.
OpenTable integration
AI books tables directly into OpenTable during the call — no manual data re-entry.
Menu and dietary handling
AI trained on the menu, allergens and seasonal specials — answers accurately without disturbing the kitchen.
GM escalation path
Private events, large parties, supplier calls forwarded to GM mobile in real time.
24/7 booking capture
Late evening and Sunday afternoon callers — bookings captured outside service hours.
Telexico fibre + VoIP
Business fibre with QoS and the VoIP platform on the same provider — call quality consistently excellent.
Reporting visibility
GM sees weekly call volume, missed-call avoidance and booking conversion — measurable phone-driven revenue for the first time.
Why this setup fits independent restaurants
Independent UK restaurants don't have head-office IT, don't have spare staff, and can't justify enterprise contact-centre tooling. They need a setup that works in week one and gets out of the way thereafter. AI receptionist plus integrated booking system plus a reliable phone line — sized for an owner-managed operation — is exactly that.
How it works for businesses like yours.
Three real-world setups we deliver across the UK.
Independent restaurants and gastropubs
Owner-operated venues where service-time phone handling is genuinely impossible — AI takes the call, the team focuses on diners.
Café and bistro operators
Day-trade plus evening bookings — phone coverage that handles the spread.
Restaurants with takeaway side
Dual phone flow — table bookings and takeaway orders handled separately, neither blocking the other.
The ongoing support relationship
Beyond the install: weekly check-ins for the first month to tune the AI flow, training for the floor team on the escalation path, monthly reporting on call-driven bookings, and a named Wolverhampton-based account manager. When the menu changes seasonally we update the AI knowledge base. Real ongoing relationship rather than install-and-disappear.
What you actually get from Telexico.
Honest about scope. No aggressive sales tactics, no surprise renewal jumps, no tier-1 call-centre triage. Real UK engineers, transparent pricing, one provider relationship across the stack.
UK-based provider
Wolverhampton-headquartered. Engineers cover the West Midlands daily; UK-wide install via our partner network. Real UK engineer support, UK data residency, UK contractual relationship — not US-routed SaaS.
Real engineer support
When you call Telexico, you reach someone who can actually fix things. Response SLA backed by real engineering capacity rather than call-centre headcount. Named account manager for ongoing customers.
Free infrastructure review
Every engagement starts with a no-obligation audit of your current setup. Honest recommendation — sometimes that's "stay with your current provider after negotiation." We'd rather be honest than oversell.
Transparent pricing
What you sign for is what you pay — including renewal. No teaser pricing that jumps 30-100% at year two. No mid-contract CPI shock. Predictable multi-year cost from day one.
One provider, one platform
Broadband, hosted VoIP, business WiFi, AI Receptionist, 4G/5G failover, CCTV consolidated onto one Telexico relationship. Single bill, single support number, single engineer when something needs attention.
Migration project-managed
Switching to Telexico isn't DIY. We handle contract audit, notice timing, ordering, parallel running, cutover, old-provider close-out. Customer-visible disruption typically measured in minutes.

Frequently asked questions
How long did the install take?
Three weeks end-to-end including OpenTable integration testing and a one-week pilot. We typically tell restaurants to allow 2-4 weeks depending on booking platform complexity and how much menu and dietary content needs to go into the AI training.
Did diners notice the change?
Yes — but positively. Bookings used to go to voicemail; now they get a polite, knowledgeable answer that books their table immediately. The most common comment was 'finally got through first time'. A few callers asked if it was AI; most didn't notice.
What about complaints and complex queries?
AI escalates complaints, complex queries, supplier calls, large party enquiries and private event requests to the GM's mobile in real time. AI doesn't try to handle anything outside its trained scope.
Did call volume go up after install?
Yes — both because previously-missed calls were now answered and because Google's local-pack rewards reachable businesses with higher visibility. Total booking calls answered increased significantly in the first month.
Does this work for smaller restaurants too?
Yes — the setup scales down well to 25-40 cover restaurants. The economics work as long as the venue gets enough call traffic that even modest missed-call recovery exceeds the platform cost. Most independent UK restaurants meet that threshold easily.
What was the broadband situation?
Pre-install, the restaurant had consumer-grade FTTC running everything including the EPOS, card terminals and a customer WiFi extender. We upgraded to business-grade fibre with QoS configured so voice calls are prioritised over guest WiFi traffic. No more dropped VoIP during peak service.
What does the ongoing support look like?
Named UK account manager, monthly reporting, seasonal menu updates to the AI knowledge base, change requests handled in hours not weeks. Practically, we're a phone call or WhatsApp away when something needs attention.
