Signs your phone system is outdated.
Most UK businesses don't realise their phone system is holding them back until they see modern hosted VoIP in action. Practical checklist of signs your phone system has become operational drag — and what modern replacement looks like.
What we hear every week.
The frustrations behind why businesses search for signs your phone system is outdated in the first place. If any of these feel familiar, the fix is straightforward.
Still on ISDN or copper PSTN
BT switches off ISDN by January 2027 — many exchanges earlier. If you're still on copper phones, the migration is mandatory, not optional.
No mobile app for staff working away from desk
Modern hosted VoIP runs as a mobile app — staff make and receive office calls from anywhere on their work mobile. ISDN can't do this.
No call recording or recording is on-premises hardware
Compliance, training, dispute resolution — modern hosted VoIP has cloud call recording with retention policies built in. Old systems often need separate (expensive) recording hardware.
Voicemail-and-hope catches missed calls
Voicemail isn't effective missed-call recovery in 2026. Modern setups use AI receptionist to capture overflow and after-hours; old systems can't integrate AI.
Diagnostic signs your phone system needs replacing
**Sign 1 — you're on ISDN, copper PSTN, or really old hosted VoIP:** PSTN switch-off is forcing migration anyway. **Sign 2 — no mobile/desktop app for staff:** modern staff work from anywhere; phone system needs to support it. **Sign 3 — call recording isn't built-in:** compliance, training, dispute resolution all need recording with retention policies. **Sign 4 — hunt groups and overflow are clunky or absent:** missed calls during peaks are revenue lost. **Sign 5 — no integration with CRM or calendar:** click-to-call, automatic logging, screen-pop on inbound — modern operations expect this. **Sign 6 — bills full of per-call charges:** modern hosted VoIP bundles inclusive minutes; legacy systems often charge per call. **Sign 7 — physical PBX hardware in your office:** maintenance burden, refresh cycle, single point of failure. Cloud-based hosted VoIP removes the on-premises hardware. **Sign 8 — no AI receptionist option:** modern setups capture overflow and after-hours via AI; legacy systems don't integrate. **If you ticked 3+ signs, your phone system is likely costing you more than a modern replacement would, in operational drag plus direct costs.**
The Telexico approach to signs your phone system is outdated.
Six things our customers consistently tell us matter.
Mobile apps for anywhere working
Staff make and receive office calls from mobile, laptop, desk — same extension, same features, anywhere.
Built-in call recording with retention
Cloud-based recording, compliance-grade retention policies, searchable from admin interface. No separate hardware.
Hunt groups and overflow handling
Calls ring multiple staff phones simultaneously, escalate to next available person, integrate with AI for overflow.
CRM and calendar integration
Click-to-call, automatic call logging, screen-pop on inbound — modern workflow expectations met.
AI receptionist integration
AI handles overflow, after-hours, and routine inbound — captures enquiries that would otherwise be lost.
No on-premises PBX hardware
Cloud-based — no maintenance, no refresh cycle, no single point of failure in your office.
Built around modern UK business operational reality
Modern UK business operations are hybrid, customer-facing, mobile, and integrated. Phone systems need to support all of that. ISDN and copper PSTN were designed for a different era. Replacing the phone system before the PSTN switch-off deadline isn't just compliance — it's operational uplift that delivers daily benefits.
How it works for businesses like yours.
Three real-world setups we deliver across the UK.
ISDN-era businesses forced to migrate
PSTN switch-off mandate; opportunity to modernise with hosted VoIP, mobile apps, AI receptionist.
Old hosted VoIP without modern features
First-generation hosted VoIP without mobile apps, call recording, CRM integration — replacement delivers material uplift.
Multi-site businesses with mixed legacy systems
Different phone systems at different sites — consolidation onto modern hosted VoIP delivers operational consistency plus cost savings.

Frequently asked questions
I'm not sure if I'm on ISDN — how do I find out?
Check your phone bill — if you see 'ISDN' or 'ISDN2e' or 'ISDN30' as line types, you're on it. Or call your provider and ask. If you have multiple phone numbers all running into a physical PBX in your office, almost certainly ISDN. Telexico can audit your existing setup as part of any migration quote.
Is hosted VoIP genuinely better than what I have?
Depends what you have. Vs ISDN/PSTN: significantly better — mobile apps, modern features, lower cost, cloud-based. Vs first-gen hosted VoIP (10+ years old): usually better — modern UX, modern features, better integration. Vs recent modern hosted VoIP: probably similar. Honest assessment matters.
How much does replacing my phone system cost?
Indicative: project fee £200-1,500 for the migration, new IP handsets £80-200 each, ongoing hosted VoIP £8-15 per user per month. Often the new monthly cost is similar to or lower than the legacy system. Migration pays for itself within months in most cases.
Will I lose my phone numbers if I replace the system?
No — number porting moves them across cleanly. All your existing UK numbers transfer without changes to stationery, marketing, Google listing or what customers dial. Standard, routine.
How long does replacement take?
Typical: 4-6 weeks elapsed from order to live. Number porting (2-4 weeks) is the long-lead item. Active project work concentrated at the start (discovery, configuration) and the cutover window (a few hours). Complex multi-line or multi-site setups: 6-12 weeks.
What about the PSTN switch-off — do I have to migrate before 2027?
Before YOUR specific Openreach exchange switches off PSTN, which is rolling out at different times across UK. Many exchanges are switching off in 2025-2026, ahead of the January 2027 deadline. Don't assume you have until the deadline; check your exchange date or assume sooner rather than later.
Can I migrate gradually if I have multiple sites?
Yes — typical approach. Migrate sites as their existing contracts end; new sites and acquisitions go straight onto modern hosted VoIP. Builds toward consolidation over 12-24 months without breaking existing commercials.
