Here's exactly what the process looks like, step by step.
Step 1 — Check Your Broadband
VoIP calls travel over your internet connection. Before setting up a VoIP system, confirm your broadband is up to the job.
Minimum requirements:
- 100Kbps (0.1Mbps) upload speed per simultaneous call — easily met by any broadband connection above 2Mbps
- Jitter below 30ms (measures consistency of data delivery — affects call quality)
- Packet loss below 1%
In practice, any decent FTTC or FTTP connection supports 20–30 simultaneous VoIP calls comfortably. If you're on old ADSL or rural broadband below 5Mbps, we'd recommend upgrading broadband at the same time as switching to VoIP.
Step 2 — Choose Your System Configuration
Before we configure your Cloud X system, we need to know:
- How many users? Each person who needs a phone line is a "user" or "extension"
- How many simultaneous calls? A 10-person business might only ever have 4–5 calls happening at once
- Desk phones or apps? Yealink physical handsets, mobile/desktop apps, or both
- Auto-attendant? "Press 1 for sales, 2 for accounts" — yes or no, and what should it say?
- Hunt groups? Which people should ring when a customer calls your main number?
- Opening hours? What should happen to calls outside business hours?
We send you a simple configuration questionnaire. Most businesses complete it in 15 minutes.
Step 3 — Number Porting
Keeping your existing phone numbers — your 0121 number that's on your website, business cards and Google listing — is called number porting. Your number moves from your current provider to Telexico.

Step 4 — Hardware Delivery & Setup
If you're having Yealink desk phones, they arrive pre-configured. Plug the phone into your network switch or router using the supplied Ethernet cable. It boots, connects to our servers and is ready to use. There's no manual configuration required on the phone itself.
For the mobile and desktop app (Cloud X Softphone), users download the app and log in with credentials we provide. Takes about 3 minutes per person.
Step 5 — Training
We provide a 30–60 minute online walkthrough for your team covering:
- Making and receiving calls (desk phone and app)
- Transferring calls — blind transfer and attended transfer
- Setting up voicemail
- Using the call history and contacts
- For managers: accessing the analytics portal and call recordings
Step 6 — Go Live
On go-live day, your numbers port across (usually at midnight the night before). You wake up and all your existing numbers ring on your new Cloud X system. Your old lines are automatically cancelled. Job done.
